Thank you for choosing Nomadic Brews for your event. To ensure a smooth experience for everyone, please review the following terms before confirming your booking.

1. Booking & Payment

All private event bookings are subject to availability and confirmed upon receipt of the required payment.

The quoted event package covers the agreed service duration, beverage quantity, transportation, setup, and breakdown unless otherwise specified.

Any services or purchases beyond the agreed package will be billed separately.

2. Cancellations & Refunds

Each private event requires advance scheduling, ingredient preparation, staffing, and equipment allocation.

Cancellation requests must be submitted in writing. Any applicable cancellation fees or refunds will follow the policy stated in your booking confirmation, subject to applicable law.

Requests to reschedule are subject to availability and may result in additional charges.

3. Beverage Packages

Private event packages include a predetermined number of beverages.

• Unused beverages are non-refundable and cannot be transferred to future events.

• Additional beverages beyond the agreed quantity will be billed at the rate specified in the booking agreement.

• Menu selections and beverage quantities should be finalized before the event.

• Ingredient availability may require reasonable substitutions.

4. Event Hours & Service

Service is provided during the hours specified in the booking confirmation.

Nomadic Brews requires approximately one hour for setup and one hour for breakdown, separate from the scheduled beverage service period.

Delays caused by venue access, guests, or event organizers do not automatically extend the scheduled service hours.

Any additional service time must be approved by Nomadic Brews and may incur additional charges.

5. Venue Access & Requirements

The client is responsible for ensuring the event location can safely accommodate our mobile café.

This includes:

• Suitable, level parking and sufficient space for our vehicle and café setup.

• Clear access for arrival, setup, and departure.

• Any necessary venue approvals, parking permissions, or access arrangements.

• Disclosure of venue-specific vendor, insurance, or permit requirements before booking.

Additional requirements disclosed after booking may result in supplemental charges, subject to client approval.

If the location cannot safely or legally accommodate our setup, service may need to be modified, relocated, or canceled.

6. Weather & Outdoor Events

Nomadic Brews operates primarily outdoors, and the safety of our guests, staff, and equipment is a priority.

Heavy rain, strong winds, severe weather, or other unsafe conditions may prevent us from safely operating.

If unfavorable weather is forecast, we encourage clients to arrange a suitable covered location or discuss rescheduling options in advance.

Weather-related cancellations and rescheduling requests will be evaluated individually, taking into account advance preparation, expenses incurred, and the timing of cancellation. Any applicable fees or refunds will follow the agreed cancellation policy and applicable law.

Nomadic Brews reserves the right to suspend service when conditions become unsafe.

7. Travel & Transportation

Transportation costs are included in the agreed event quote unless otherwise specified.

Changes to the event location, additional travel requirements, parking fees, or unexpected access restrictions may result in additional charges, subject to client approval.

8. Menu & Dietary Considerations

We strive to accommodate dietary preferences whenever possible.

Please communicate any allergies or dietary restrictions before your event.

Our beverages may contain or come into contact with milk, nuts, soy, and other allergens. While we take precautions, we cannot guarantee an allergen-free environment.

9. Equipment & Unexpected Circumstances

In the event of vehicle breakdowns, equipment malfunctions, power failures, or other unforeseen circumstances, Nomadic Brews will make reasonable efforts to provide an alternative solution.

If Nomadic Brews is unable to provide the agreed service due to circumstances within our control, the client will be offered a refund for services not provided or an opportunity to reschedule.

10. Photography & Content

Nomadic Brews may photograph or record our mobile café, beverages, and event setup for marketing and social media purposes.

We respect the privacy of our clients and their guests. Please notify us before the event if photography or promotional content is restricted.

11. Agreement

By confirming a private event booking and submitting payment, the client acknowledges and agrees to the terms provided before payment, including any event-specific conditions outlined in their invoice or booking confirmation.
